The purpose of this Techfax is to address the following problem:
You have just obtained a new Farm from the Title Company. You try to run either
the menu option "Select Update/Append a Farm"
-or-
the menu option "Copy Flagged Records"
but you get a Numeric Overflow Error message on a *SYSTEM ERROR* screen
With the release of the new 4.8 and the new Convert, there have been some important changes to some of the fields in the new Farm databases. One of these changes consisted of changing the size of the YR_BUILT field from being only two digits to four digits. The Numeric Overflow problem occurs when the Target Farm Database (this is the Farm which the new records are being copied TO) is of the older field structure but the Source Farm Database (this is the Farm which the new records are being copied FROM). The Farm receiving the records has only 2 digits in its YR_BUILT field but the records from the other Farm has 4 digits in its YR_BUILT field which results in an overflow.
The solution is as follows:
First and foremost, make sure that you have version FMS 4.8. If you have an earlier version (4.5, 4.6, or 4.7), get a copy of 4.8 from your title company. NOTE: You can see what version of FMS you are running by going into the Main Menu and looking at top of the screen. The version is clearly stated there. Then when you have confirmed that you are currently running FMS 4.8 or AFTER you have UPGRADED to FMS 4.8 do the following....
From the Main Menu select the menu option Create Master Farm"
to Create a new Farm which by virtue of its having created in the FMS version 4.8 will have the new 4.8 field structure.
Next, from the Main Menu select the menu option "Update/Append a Farm"
When the program asks you to choose a Master Farm to Update TO... Select that newly created empty Farm that just made in the previous step (and press Enter).
Then when the program asks you to choose a Master Farm to Update FROM...
Select the OLD Farm and press Enter. The new Farm will now contain all information the original farm but the in the new structure.
(When the program asks you whether or not to UPDATE RECORDS FROM ANOTHER FARM TO THIS MASTER you can type in N for No at least for now.) Use the new farm (the one you just created and then Appended into from the old one) in place of the original farm.
